School Photography Fundraising: Questions to Ask Before Picture Day

by | ABC School Photography Blog

Picture Day can create meaningful school memories, but it may also be connected to a fundraising arrangement. Before presenting that opportunity to families, administrators should understand exactly how the arrangement works, which organization receives the proceeds, and what responsibilities belong to the school, parent association, and photography provider. The phrase school photography fundraising does not describe one universal model. Contribution terms, eligible purchases, payment procedures, and reporting expectations can differ from one agreement to another.

ABC School Photography supports school fundraisers and PTA initiatives through its yearbook and class photo services. Because arrangements differ from school to school, confirm the contribution structure, qualifying products, minimum order requirements, and payment timing with ABC directly, and put the agreed terms in writing before the school communicates the opportunity to families.

Start by defining what the contribution means

The first question is not “How much can we raise?” It is “What type of contribution is being offered?” A provider might describe a percentage of qualifying sales, a fixed contribution, a credit toward a school expense, a product contribution, or another arrangement. The school should not assume that a familiar phrase has the same meaning across vendors.

Ask the provider to explain the calculation in plain language and include the explanation in the written agreement. Clarify whether the amount is based on gross sales, net sales, a particular package, or another defined figure. If the arrangement is connected to parent purchases, ask whether individual portraits, class photographs, digital products, specialty items, late orders, retakes, or other purchases are included.

  • What form does the contribution take?
  • Which products, packages, or orders qualify?
  • Are discounts, refunds, chargebacks, taxes, shipping, and late orders included in the calculation?
  • Are there minimum sales, participation, or order requirements?
  • Will the provider supply a written example showing how the calculation works?

Do not describe a possible amount as expected revenue until the terms and calculation have been reviewed. A clear agreement protects the school from making an inaccurate promise to families and gives the treasurer a practical basis for reconciliation later.

Clarify who handles money and when

Administrators should map the money flow before Picture Day. Families need to know where and how they will place orders, while the school or PTA needs to know which party receives payments, handles refunds, prepares reports, and remits the fundraising proceeds.

Ask whether the provider collects family payments directly or whether the school or parent association will collect anything. Confirm which organization is entitled to the contribution and whether funds must be deposited into a particular account. Also ask when payment will be made, what method will be used, and what report will accompany it.

National PTA guidance recommends maintaining appropriate transaction and deposit records and preparing a report that accounts for revenue, expenses, and profit. The organization also emphasizes that PTA and school money should remain separate. Your school’s own district and parent-association rules may add further requirements, so the treasurer or finance administrator should review the proposed arrangement before approval.

  • Who collects and processes family payments?
  • Who handles refunds, disputed charges, and payment questions?
  • When will the contribution be remitted?
  • What sales or reconciliation report will accompany the payment?
  • Which account should receive the funds?
  • Who can review the records if the reported total does not match expectations?

Assign family communication responsibilities

A fundraising arrangement can become confusing when families receive separate or incomplete explanations about ordering and school support. Before notices go out, decide who drafts the communication, who approves it, and who answers follow-up questions.

The family notice should identify the organization benefiting from the arrangement and explain the contribution accurately. It should distinguish the purchase of photographs from a charitable donation. Parents are purchasing photo products or services, so the school should avoid suggesting that the entire payment is tax-deductible. The Internal Revenue Service guidance explains the importance of retaining records that show the value of goods or services connected with payments to an eligible tax-exempt organization. Direct tax questions to a qualified adviser rather than making a conclusion in the Picture Day notice.

Communication should not imply that families are required to buy photographs. Tell families how to order, where to ask questions, and how the fundraising contribution is described in the agreement. If terms change, update the notice before distribution.

Review school, district, and PTA requirements

Fundraising connected to student photography may involve more than a vendor conversation. Check district procurement rules, parent-association bylaws, financial controls, student-photo procedures, consent requirements, and any restrictions on commercial activity on school property. The applicable rules depend on the school’s location and governing organizations.

For New York City public schools, Chancellor’s Regulation A-610 addresses commercial photography as a fundraising activity. Among other provisions, it describes principal and parent-association involvement, contracting, proceeds, and consent procedures. It also addresses disclosure of the project’s purpose and photo costs. These rules should not be generalized automatically to every school or state, but they show why administrators should resolve approvals and consent before Picture Day.

National PTA similarly advises organizations to consult applicable federal, state, local, and school authorities. It also recommends that fundraising methods and spending support the organization’s mission and be explained clearly to the school community. Ask whether the proposed fundraiser supports an identified, approved purpose and whether the responsible board or administrator has authorized it.

Keep a complete record from approval through payment

Good records make the arrangement easier to explain and easier to audit. Keep the signed agreement, approved family notice, ordering instructions, consent materials, sales or reconciliation reports, payment confirmation, refund records, and post-fundraiser report together according to the school or PTA’s retention practices.

Before signing, identify who owns each record and how the school can obtain copies. The provider may hold order information, while the PTA may hold deposits and the school may hold communications or consent forms. A written record-retention plan reduces confusion when staff members change or when questions arise months after Picture Day.

At the end of the campaign, compare the provider’s report with the contract. Confirm that qualifying orders were treated according to the agreed formula, refunds were handled consistently, and the amount received was deposited into the correct account. If the final figure differs from an estimate, the records should explain why. Avoid relying on an informal email or verbal promise when the arrangement affects school or PTA funds.

Use this vendor discussion checklist

Before approving a school photography fundraising arrangement, administrators can use the following checklist:

  • Contribution: Is the contribution a percentage, fixed amount, credit, product, or another form?
  • Eligibility: Which purchases and arrangements qualify, and how are refunds, discounts, taxes, shipping, retakes, and late orders treated?
  • Timing: When are funds provided, and what event triggers payment?
  • Money handling: Who collects payments, manages disputes, and controls the proceeds?
  • Reporting: What sales detail and reconciliation report will the school or PTA receive?
  • Communication: Who explains ordering, costs, qualifying purchases, and the beneficiary to families?
  • Approvals: Who is authorized to sign, and which school, district, or PTA approvals are required?
  • Consent: What parent or guardian consent procedure applies to individual and group photographs?
  • Records: Which party retains the contract, notices, consent materials, sales reports, and payment records?
  • Current terms: Has the provider confirmed that the terms remain current when the family notice is distributed?

Make the decision based on documented terms

School photography fundraising can be worth considering when the arrangement is transparent, approved, and aligned with the school’s financial and communication practices. The decision should not rest on a general promise that Picture Day may help fundraising. It should rest on a written explanation of the contribution, a clear money trail, accurate family communication, and a recordkeeping plan that the school and parent association can follow.

ABC School Photography supports school fundraisers and PTA initiatives, and we welcome the chance to talk through how a Picture Day fundraiser could work for your school. Contact ABC to ask about current fundraising arrangements, then review the terms with the appropriate school or PTA officials and communicate only what the agreement actually says.
